Job Overview:

The Special Projects Assistant will support the AmeriHealth Caritas Health Plan (ACHP) member enrollment and Diabetes Prevention Program (DPP) provider reimbursement initiative of Health Promotion Council (HPC) and other DPP related projects as assigned. The role of the Special Projects Assistant will be to ensure efficient and effective organization and flow of communication, procedures, data tracking, and invoice processing among multiple partners involved in the initiative. The Special Projects Assistant is a critical member of Health Promotion Council’s (HPC) Training and Capacity Building Department (TCAP) reporting to the Program Coordinator with oversight from the Program Manager, and works with other HPC TCAP team members. This position works closely internal team members to ensure that key administrative, process and organizational tasks are efficiently and effectively accomplished within the designated timeline for the ACHP Member Enrollment and Reimbursement Initiative and other DPP projects as assigned.

The Special Projects Assistant is a part-time employment position, as with all positions, is contingent upon funding for the project.


  • Assemble electronic “unable to reach” letters for printing from weekly list provided by Partners in Care Foundation, print, stuff envelopes, and take to the mailroom.
  • Ensure timely download of DPP provider program schedules and information via Program Information Survey.
  • Conduct outreach, as needed, to DPP provider sites to determine future schedules.
  • Proof new contracts with new DPP provider sites.
  • Work with Administrative staff to submit invoices to fiscal department for payment to contracted providers.
  • Update DPP program calendar from the online Survey Monkey forms submitted by DPP providers and upload it to the webpage
  • Answer incoming phone calls for the program information toll-free number and respond to inquiries for program information and enrollment, as requested.
  • Accurately compile member encounters reported from multiple providers to complete OPS 15 Form for monthly reporting by the 15th of month to AmeriHealth Caritas Health Plan
  • Maintain tracking and documentation of all contacts associated with DPP projects and documentation of all partnership meetings, outcomes and next steps.
  • Draft and process contracts as needed.
  • Attend all required and requested in-person, conference call or web-conference project meetings.
  • Perform other duties and responsibilities as assigned.


  • Effective verbal and written communication.
  • Able to confidently and professionally communicate with internal and external partners and AmeriHealth members among diverse cultures and settings.
  • Demonstrated basic proficiency with Microsoft Suite, specifically Word, Excel, PowerPoint and Outlook.
  • Knowledge in utilizing social media for program promotion a plus, not required.
  • Strong organizational, time and task management skills, attention to detail, flexibility and ability to work independently or as part of a team to ensure deadlines are met.
  • Willingness and ability to adapt to changing work demands and to understand and implement all policies and procedures of a complex, multi-service organization
  • Personal commitment to promoting and learning about healthy lifestyles
  • Proven ability to work under pressure and meet deliverables.
  • Ability to collect, organize, and manage incoming data and requests.
  • Able to securely manage and handle personal health information according to strict PHMC HIPAA policies and procedures.


  • At least one year work experience.
  • Working under multiple demands requiring prioritizing and communication with diverse individuals and groups. work with multiple staff, departments and organizations and manage complex communication and urgent time demands
  • Professional writing and communication.
  • Experience formatting documents, excel spreadsheets and web pages.

Education Requirement:

  • High School degree required. Some higher education, preferred
