FLSA Classification: Non-Exempt

  • This position is classified as salaried non-exempt in accordance to FLSA standards.

The IOP Administrative Support Staff is a person who is familiar interacting with a population of women in recovery from substance use, is organized and possesses excellent communication and interpersonal skills. This person will report to the Senior IOP Therapist and provide administrative support to the therapists, nurse and psychiatrist. This individual will be responsible for performing such tasks as filing, opening and closing charts, entering information in the client data base and distributing an monitoring daily bus passes.

  • File all individual and group notes along with UDS results in the charts according to the Chart Organization Table within one week of note completion
  • Open new charts within 3 days; close charts within 2 weeks
  • Complete Chart Audit Sheet
  • Ensure filing is consistent with Table of Chart Organization
  • Enter Psychiatric Notes into the PHMC Client Registry Data Base within 7 days of service
  • Enter UDS results into PHMC Client Registry Data Base
  • Handle distribution of one-trip transit Septa passes and treatment incentives
  • Discharge participants & close the chart, as per the admission and discharge policy
  • Other duties and assigned by supervisor or program director  


  • Minimum one year of experience

Education Requirement:

  • Minimum High School Diploma or GED


  • Commensurate with education and experience
  • Grade 14

Days & Hours per week:

  • Monday, Wednesday and Friday, 9am to 2pm
