The Administrative Assistant is responsible for supporting several programs and departments across the organization. Additionally, this individual will assist the infrastructure team with broader organization-level responsibilities. This position reports to the Administrative Manager and will also be accountable to the directors overseeing programs and departments with which the person holding this position works.  

Programs with which this position may work include Safe and Healthy Homes, AmeriCorps, PA Action Coalition, Nurse- Family Partnership, Mabel Morris Home Visiting Program, National Training and Technical Assistance Program, PCORI Patient Engagement Project, and others.

Time may be split between multiple NNCC locations: West Philadelphia (4601 Market St.), Center City (1500 Market St.) and Northeast Philadelphia (1080 N. Delaware Ave) (all accessible by public transportation).

Responsibilities:  

  • Administrative support to assigned NNCC programs as needed, including:
    • Meeting scheduling
    • Taking meeting minutes
    • Invoice and expense report entry o Sending communications to staff and partners
    • Assists Project Directors with completion and submission of required reports
    • Coordinating staff travel and hotel arrangements (for conferences and events)
    • Data entry
    • Social media posting
  • Administrative support for office as needed, including:
    • Overseeing mail distribution, including collecting checks and managing NNCC Deposit Log
    • Office supply orders (Amazon & WBMason, primarily)
    • Answering and directing incoming phone calls for NNCC Main Number
    • Providing support for PHMC Receptionist
  • Assists Administrative Manager with Contracts, Fiscal, HR, IT, and Facilities tasks, including:
    • Contract processing
    • Hiring, credentialing, and staffing changes
    • Troubleshooting IT issues with staff and contacting PHMC HelpDesk
    • Maintaining NNCC email distribution lists
    • NNCC inventory tracking and management (client supplies, office supplies, and tech equipment)
    • Submitting NNCC Visitor Management Requests
    • Monthly credit card reconciliation
  • Support NNCC Committees with planning and implementation of staff events (ex: NNCC Social Committee) Other duties and responsibilities, as assigned
  • Commitment to ensuring equitable working environment for all staff and clients

Skills:

  • Demonstrated proficiency with Microsoft Office Suite, specifically Word, Excel, PowerPoint, and Outlook
  • Proficiency with Adobe Pro/DC form creation
  • Ability to learn and adapt to new technology
  • Familiarity with graphic design
  • Effective verbal and written communication
  • Strong organizational and time management skills, attention to detail
  • Ability to work independently and as part of a team
  • Proven ability to work under pressure and meet deliverables
  • Flexibility to adapt to changing work demands
  • Ability to understand, enforce, and adhere to company policies and procedures
  • Ability to handle confidential information in accordance with company policies and procedures

Qualifications:

  • Three years of administrative assistant or office-based work experience preferred
  • Able to work on-site or off-site per assignment

Education Requirement: 

  • High School Diploma or GED required.
  • Bachelor's degree, preferred. Associates degree or current enrollment in bachelor's program considered with at least 5 years of office-based work experience. 

Salary:

  • Commensurate with education and experience.
  • Grade 15

FLSA Classification: Non-Exempt

  • This position is classified as salaried non-exempt in accordance to FLSA standards.
