The EHR Specialist is responsible for managing the configuration, business development changes and support for PHMC’s EHR platform. This includes the development of solutions, ensuring accuracy, quality and data integrity. The role requires a strong view of PHMC’s change management process to ensure the delivery of tangible results and innovation to PHMC’s business community. PHMC has moved to an integrated care EHR platform and is consolidating many other EHR applications to this platform for enterprise business use. This role is critical to the success of this deployment and ongoing improvement cycles affecting PHMC’s 4,000+ employees at over 75 sites.

This role also requires the ability to partner and maintain relationships with key business personnel. This specialist will work to understand existing processes with business units to create opportunities for process improvements through systems integration and other means in support of the healthcare operation. The key goal of this role is to ensure flawless operation of EHR systems and supported integrations. This requires continued development of the technical skill set in the areas of integration and development as part of a core systems administration skill set.

This role will work with application developers, business analysts, as well as database, network, and systems administrators as required to meet business requirements. This role participates in special projects and performs additional duties as required by IT management.

Work Schedule:

  • This is a full-time position with a five day, 40 hours/week work schedule.


  • Administer multiple systems to include security, reporting, metadata changes and troubleshooting system issues
  • Work with business representatives to understand work flow processes in all business units.
  • Project management and liaison between business units and vendors customizing functionality while maintaining integrity throughout PHMC healthcare operations when applicable.
  • Work with other IT teams to develop standard procedures and measures including SLA’s for uptime and other key performance indicators.
  • Direct support of EHR systems, including ZH Healthcare BlueEHR, Allscripts, and Credible.
  • Manage all phases of a systems review, and implementation project life-cycle; including requirement gathering, planning, testing, implementing, and training
  • Work with application and infrastructure teams to maintain all system configuration and adherence to PHMC security policies.
  • Understand relational database structures and work with Database Administration team to model and develop required integrations while maintaining application performance and reliability
  • Manage vendor relationships, including the scheduling and testing of system updates, maintenance releases and upgrades
  • Coordinate and oversee internal user acceptance testing of new functionality
  • Work with vendor and IT team members to develop and maintain internal user documentation for all assigned systems
  • Operate data capture technology to import digitized documents into document management system.
  • Perform hard document scanning, cleaning, indexing and archiving.
  • Search electronic sources, such as databases or repositories, or manual sources for information in support of business requirements.
  • Conduct needs assessments to identify document management requirements of departments or end users.
  • Prepare and record changes to official documents and forms and confirm changes with appropriate (legal and compliance management) staff.
  • Develop, document, or maintain standards, best practices, or system usage procedures.
  • Administer document and system access rights and revision control to ensure security of system and integrity of master documents.
  • Consult with end users regarding problems in accessing electronic content.
  • Monitor regulatory activity to maintain compliance with records and document management laws.
  • Keep abreast of developments in document management technologies and work with development team to meet and support business requirements.
  • Prepare support documentation and training materials for end users of document management systems.
  • Exercise security surveillance over document processing, reproduction, distribution, storage, or archiving.


  • Knowledge of PHI, PII and HIPAA compliances.

  • 3 years of experience administering EHR systems in a multi-specialty healthcare environment
  • 5 years database administration background
  • 3 years of experience with SQL Server (2008 – current versions)
  • 5 years of experience general healthcare principles and practices
  • 3 years of experience in Document Management platform technology, business process and workflow identification
  • Experience and ability to write JavaScript to be used for form functionality
  • Integration experience required for SQL systems and multiple other application platforms
  • Advanced knowledge of HIPAA and other business regulations.
  • Experience with JIRA, Service Desk Plus and other PSA platforms

Education Requirement:

  • Shall hold current accredited certification in applicable, modern technology platforms detailed in this job description
  • Bachelor Degree in Computer Science or a related technical field, experience and education in EHR principals also preferred
  • Additional qualifying experience may substitute for up to two years of the educational requirement on a year-for-year basis; or any combination of experience and training which provides the applicant with the knowledge, skills and ability required to perform the work detailed in this job description.
