Job Description

To assist the Community Engagement Office Manager in all areas, be responsible for performing a wide variety of clerical tasks and assist co-workers with tasks as assigned. Assignments are both administrative and technical in nature.


  • Responsible for receiving and entering data and distributing routine reports.
  • Field inquiries regarding Forensic Services and provide requested information.
  • Responsible for preparation of participant charts for transport to and from the Forensic Services trailer.
  • Responsible for accurately entering all participant related housing data for the housing unit; preparing and distributing all necessary housing information for the entire Forensic Services unit; and entering of miscellaneous information as needed into the database.
  • Responsible for the creation and maintenance of file supply.
  • Perform routine clerical duties, including filing, faxing, answering phones, scheduling and setting up meetings, distributing mail, collecting and distributing live paychecks for new staff each pay period, typing correspondence and maintaining paperwork.
  • Responsible for ordering supplies, and deliveries and pick-ups for the unit.
  • Assist Community Engagement Office Manager with administrative tasks and provide coverage of PHMC reception desk as needed.
  • Responsible for processing invoices in PHMC’s DMS web-based platform.

Special Responsibilities:

  • Responsible for updating the monthly agenda per the instruction of the Director of Business Operations and Regulatory Compliance or the Managing Director of Community Engagement.
  • Attending monthly agency meetings and take detailed minutes which will be sent out to Forensic Services providers as well as posted on Forensic Services website.


  • Must be detail-oriented.
  • Must be able to work collaboratively with internal and external partners.
  • Must be computer literate, with experience using Microsoft Office software.
  • Must be familiar with a server-based database.
  • Must be a professional who can interact with various levels of management.
  • Must be able to work as part of a team and independently.
  • Must have good organizational and communication skills.
  • Must be able to lift 25 lbs. and be able to perform repetitive motions.
  • Familiarity with billing a plus.


  • Minimum of 4 years clerical experience necessary
  • Must have data entry experience
  • Background in human services or health care helpful


  • Some College desirable
  • High School Diploma required


  • Commensurate with education and experience.
